We respect and value the privacy of everyone who uses our services and only collect and use your personal data as described in this Privacy Policy. Any personal data we collect will only be used as permitted by law.

This Privacy Policy applies only to your use of our site or services including enquiries, bookings and payments.

i)Rights relating to automated decision-making and profiling. We do not use your personal data in this way.

If you have any cause for complaint about our use of your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office. We would welcome the opportunity to resolve your concerns ourselves however, so please contact us first, using the details in Part 10.


5. What Personal Data Do You Collect and How?

We do not place cookies on your computer or device.

If you send us an email,contact us  or booking request form via our website or enquiry over the phone,  we may collect your name, your email address, contact number, address where we will deliver our equipment and your bank details( should you wish for your deposit to be paid back to you via this method) and any other information which you choose to give us. For the purposes of the Data Protection Legislation, We are the data controller responsible for such personal data.

The lawful basis under the Data Protection Legislation that allows us to use such information is article 6(1)(f) of the UK GDPR which allows us to process personal data when it is necessary for the purposes of our  legitimate interests, in this case, the proper operation and functionality of our business and hire agreement. If you contact us as described above, you will be required to consent to our use of your personal data to contact you. In this case, our lawful basis for using your personal data will be article 6(1)(a) of the UK GDPR, which allows us to use your personal data with your consent for a particular purpose or purposes.

Where we collect any personal data, it will be processed and stored securely, for no longer than  6 years  after which it will be destroyed and deleted from our systems.Bank details will be deleted and destroyed on confirmation that you have received the monies returned to you. We will comply with our obligations and safeguard your rights under the Data Protection Legislation at all times. For more details on security see Part 7, below.


6. How Do You Use My Personal Data?

Your personal information will be used to create your booking, contact you regarding your booking, deliver and collect your booking and return your deposit via bank transfer if you choose this method of payment

We will not share any of your personal data with any third parties for any purposes other than storage on an email and/or web hosting server.


7. How and Where Do You Store My Data?

We will store your Data on Microsoft OneDrive and ProtonMail. Both of these are password protected and only accessed by Pop up Playroom.

ProtonMail is end to end encrypted and within the European Economic Area (the “EEA”). The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the EU GDPR and/or to equivalent standards by law. Transfers of personal data to the EEA from the UK are permitted without additional safeguards.



8. Do You Share My Personal Data?

We will not share any of your personal data with any third parties for any purposes, subject to the following exception:

In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.



9. How Can I Access My Personal Data?

If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.

All subject access requests should be made in writing and sent to the email address shown in Part 10.

There is not normally any charge for a subject access request. If your request is ‘manifestly unfounded or excessive’ (for example, if you make repetitive requests) a fee may be charged to cover our administrative costs in responding.

We will respond to your subject access request within 30 days and, in any case, not more than one month of receiving it. Normally, we aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of three months from the date we receive your request. You will be kept fully informed of our progress.
